AI agents for small businesses: what they do and what they cost

AI agents at their desks in the Mosaic Terra command centre

"AI agent" is one of the most overused phrases of 2026. Strip away the hype and an AI agent is simple: software that can read information, decide what to do next within rules you set, and take a step, such as drafting a reply, updating a spreadsheet or preparing a report. For a small business, the value is not science fiction. It is time back: fewer repetitive tasks, faster replies and nothing important forgotten.

What an AI agent actually is

A chatbot answers questions. An agent does work. The difference is that an agent can use tools: your inbox, your calendar, a spreadsheet, your website forms, a search engine. It follows a goal ("reply to new enquiries within five minutes"), uses the tools it has been given, and stops where you tell it to stop.

Well-designed agents have three parts:

  1. A clear job. One role, written down, with examples of good and bad results.
  2. Limited tools. Only the access it needs, nothing more.
  3. Approval points. Moments where a human checks before anything is sent, published or paid.

What AI agents can do for a small business

AI agent roles grouped into Research and AI, Social, Marketing and Support, Security and Compliance, with plan sizes of 1, 5 and 10 agents
Agents are chosen by role. Start with one job, add more when it works.

Customer enquiries

Read new emails and form submissions, draft a helpful reply in your tone, suggest a time slot, and flag anything urgent. You approve with one tap, or let routine replies go automatically. More on this in our AI receptionist guide.

Research

Summarise competitors' public prices, collect supplier options, prepare a short brief before a sales call, or monitor reviews and mentions.

Social media and marketing

Draft posts from your news and photos, prepare a weekly content plan, write first drafts of newsletters and blog articles for you to edit.

Admin and reporting

Turn invoices, orders and bookings into a daily summary on your phone. Remind you of deadlines. Keep a spreadsheet up to date.

Security and compliance checks

Check that forms work, that your website is online, that backups ran, and that opt-out requests are respected in your mailing list.

What AI agents should not do on their own

Agents are fast and tireless, but they make mistakes and they do not understand your business the way you do. Keep a human in the loop for:

  • Anything that commits you to a price, a policy or a contract.
  • Sending messages to people who have not contacted you.
  • Publishing public content under your name.
  • Payments and anything involving bank details.
  • Decisions with legal or significant effects on a person.

At Mosaic Terra, nothing is published or sent on your behalf without the approvals you set. That is not a limitation; it is how you keep trust while still saving hours.

Data protection: the short version

If an agent handles personal data, such as customer names, emails or messages, UK GDPR applies just as it would to a human assistant. The ICO has published detailed guidance on AI and data protection and has written specifically about the privacy risks of agentic AI. In practice, for a small business:

  • Only give agents the data they need for their job.
  • Tell customers in your privacy notice that you use automated tools to help reply.
  • Keep a person responsible for decisions that matter to customers.
  • Choose providers that explain where data is processed and how long it is kept.
  • Never paste passwords, bank details or ID documents into an AI chat.

What do AI agents cost?

Costs come from three places: the AI model usage, the automation platform that connects your tools, and the setup and supervision. Building it yourself is possible with tools like n8n (see our 7 automations guide), but it takes time to design, test and maintain.

Our Hire AI plans are fixed monthly prices so you know exactly what you pay:

How to start without wasting money

  1. List your repetitive tasks for one week. Write down every task you did more than three times.
  2. Pick the one that costs you the most time or money. Usually it is replying to enquiries or chasing follow-ups.
  3. Define success. For example: "every enquiry gets a helpful reply within 15 minutes during opening hours".
  4. Start with approval on. Review the agent's work for two weeks before you let any routine task run automatically.
  5. Measure. Hours saved, replies sent, enquiries converted. Keep what works; switch off what does not.

Common myths

  • "AI will run my business for me." It will run tasks. You still run the business.
  • "It replaces staff." In small businesses it usually removes the tasks nobody had time for, so people can focus on customers.
  • "It is too technical for me." You do not need to code. You need to describe the job clearly and approve the results.
  • "It guarantees more sales." No honest provider can promise that. Faster replies and better follow-up help; results depend on your offer and your market.

Our own business runs on a team of AI agents with human approval at every important step, and you can see them in our live 3D city. If you want the same for your business, start with one agent and grow from there.

A day in the life of a small business with AI agents

To make this concrete, here is what a typical day looks like for a small service business using five agents with approvals switched on.

  • 07:00 – The reporting agent sends a one-screen summary to the owner's phone: three new enquiries overnight, one invoice overdue, website online, yesterday's bookings.
  • 07:05 – The enquiry agent has already drafted replies to the three enquiries. The owner reads them over coffee, edits one and approves all three with a tap.
  • 10:30 – The research agent prepares a short brief on a prospective client before a call: what they do, their website, recent news and likely questions.
  • 13:00 – The social agent turns a photo from a finished job into draft posts for two channels and sends them for approval.
  • 16:00 – The follow-up agent notices a quote sent four days ago with no reply and drafts a friendly check-in.
  • Evening – Nothing is sent without approval; anything sensitive, such as a complaint, has been flagged for the owner instead of answered automatically.

None of this is magic. Each agent does a narrow job well, and the owner spends minutes approving instead of hours typing.

Questions to ask any AI agent provider

  1. What exactly will each agent do? Ask for the job description in writing.
  2. Which of my accounts will it access, and with what permissions? Least access is best.
  3. Where is my data processed and stored, and for how long?
  4. How do approvals work, and can I change them?
  5. What happens when the agent is unsure or makes a mistake? It should stop and alert a human.
  6. What reports will I receive? You should be able to see what the agents did every day.
  7. How do I pause or cancel? It should be simple.

Where AI agents fit with your website

Agents work best when they have good information to draw on: clear services, prices, opening hours and answers to common questions. Usually that information lives on your website. If your website is out of date, fix it first; our website cost guide explains the options, and our complete Build with us package combines a new website, your 3D world and 30 AI agents in one project.
